Program Assistant Job Description

General Job Description: The Program Assistant will assist and support the Director in carrying out the administration of the organizations programs and services, providing marketing and communications support, administrative support, and coordinating with local business owners, stakeholders and partners. This is an entry-level, part-time position with an expected 20 hours per week. The ideal candidate will have a 2 or 4 year college degree, some business management skills and experience delivering excellent customer service. We need a strong team player with good people skills.
Position Type: Part-time, 20 hours per week, some weekend and evenings. Wage range: $18 to $22 per hour, depending on qualifications and experience.

Reports to: Executive Director
Works with: Committee members, key administrative staff, program, and contract staff along with volunteers, residents, and partners.
MAJOR DUTIES AND RESPONSIBILITIES
1. Program Support – Assist the Director in communicating with potential program
applicants for Economic Development programs, working with applicants to ensure completed program applications, project research, and related program activities.
2. Communications Support – Help the Director monitor, prepare and disseminate written,
spoken and visual communications and marketing across multiple media.
3. Administrative Support – Schedule meetings, organize logistics, maintain the
calendar, and provide related support to the Director.
4. Information Management – Assist in the capture and organization of data and tasks to
ensure effective management of the organization’s workload.
Specific Duties
PROGRAM SUPPORT
• Compile and disseminate program materials, compliance reports and documents
• Works with the program participants to complete program applications and
documentation
• Represent the EEDC positively in public by acting as a professional ambassador
• Support the mission and goals through a collaborative and welcoming attitude
• Conduct program research and review information, as assigned
• Record notes at community and committee meetings, attend and take notes at other meetings, as assigned
• Collect data and prepare reports on a weekly and monthly basis
COMMUNICATIONS SUPPORT
• Assist in responding to email, phone, and in person requests and correspondence
• Organize, schedule, and prepare support initiatives for business owners
• Assist in drafting, editing, and disseminating written communications
ADMINISTRATIVE SUPPORT
• Interface with internal and external providers and vendors.
• Arrange calendar, reservations, technology, and logistics for meetings and events
• Assist in the preparation of program, organization, grant and other reports
• Collect and organize staff program reports and manage the organizations calendar
• Provide other administrative and office management support, as needed
INFORMATION MANAGEMENT
• Help capture, process, and organize data and program information
• Help maintain program application records, grant reporting data, project materials and program files
• Help maintain the Director’s business and program contact log

QUALIFICATIONS FOR THE JOB
Experience
● 2+ years prior experience in administrative support and data collection.
● Excellent attention to detail and logistics management
● Highly capable administrative skills
● Experience working with local small business owners and nonprofits
● Highly organized, pays close attention to detail and follow-through while managing multiple tasks.
● Experience using Airtable, Zoom, Jot Form, Word, etc.
● Must possess exceptional writing skills, note taking and reporting.
● Must posses strong time management skills
● Strong communicator who works well independently and with a team
● Superior time management skills and the ability to juggle multiple projects simultaneously
● Ability to think strategically and identify ways to improve organizational efforts
● Must be resourceful and take initiative even when given minimal direction
PHYSICAL REQUIREMENTS
Working Environment
· While performing the duties of this job, the employee is exposed to a normal office environment.
· While performing the duties of this job, the employee is frequently required to use hands to finger, handle or feel; reach with hands and arms; and talk to hear.
· The employee must frequently lift and/or move up to 20-25 pounds.
TRAVEL

General Job Description: The Communications Officer will create and implement strategies to effectively communicate the work of the EEDC. The officer will be responsible for engaging across all programs and play a vital role in creating compelling content while managing all marketing channels. This role will work collaboratively with staff to ensure that all communications and marketing material aligns with the EEDC brand standards
Position Type: Part-time, 15 hours per week, some weekend and evenings. Wage range: $18 to $22 per hour, depending on qualifications and experience.

Vision and Oversight
· Develop, write, and edit marketing and communications materials, including press releases, blog posts and social media content
· Promote communications and marketing materials through appropriate social channels
· Track analytics and create reports detailing successes and failures of communications campaigns
· Ensure that all communications and marketing material aligns with brand standards
· Maintain digital media archives including photos and videos
· Work with staff, volunteers and committee members to conceptualize and implement communications strategies and campaigns
· Respond to media inquiries and perform media outreach to achieve brand placement in publications
· Coordinate, oversee, and review the creation of promotional materials (press releases, newspaper inserts, flyers, etc.) with appropriate committees. Maintains good relationships with media.
· Develop escalation protocols for managing communication crises, should they arise
QUALIFICATIONS FOR THE JOB
Experience
● 2+ years prior experience in a communications or marketing role
● Understand the best practices of main social media channels including Facebook, Instagram, Pinterest, etc
● Must possess exceptional writing skills and be able to compose engaging and accurate content
● Must posses strong time management skills
● Strong communicator who works well independently and with a team
● Superior time management skills and the ability to juggle multiple projects simultaneously
● Knowledge of Canva, Adobe PhotoShop, InDesign, and Illustrator
● Understanding of communications, public relations, and marketing best practices
● Ability to think strategically and identify ways to improve communication efforts
● Must be resourceful and take initiative even when given minimal direction
● Previous experience creating compelling content for social media channels and email marketing (Mailchimp, Facebook, Instagram, etc.)
KEY COMPETENCIES
● Experience in a non-profit settings strongly preferred
● Graphic design experience
● Photography and videography experience
● Event production experience is a plus.
● Scheduling and attention to detail is a must
● Ability to capture the voice of the organization consistently across all communication platforms.
